Digital File Naming Guidelines
Digital Audio and Video Files
The filenames for audio and video digital files contain three alphanumeric elements separated by dashes.
Sample: VI-CG0001-0022
1) A two-letter designator for media type, e.g., AU (= audio file) and VI (= video file)
2) The alphanumeric collection number of which the file is a member, e.g., M0036 or AU0006; see the collection master numbering list for reference
3) The four-digit, next-available, sequential number of the file within that collection and media type
For example, the fifth video to be digitized in the Tomlinson Family collection would be named VI-M0015-0005 and the fifth audio recording to be digitized in that collection would be named AU-M0015-0005.
3a) When there are multiple edits of a single master recording, e.g., Lee University chapels which require one version of the whole service and one version of the speaker-only, add underscore and the two-digit number of the version (_01), etc. at the end of the filename.
3b) Identical recordings with different file formats, e.g., FLAC and MPEG-3, should have identical filenames. The format extensions will differentiate them.
Objects and Their Digital Images
Physical objects in collections have two alphanumeric elements separated by a dash. The digital image files of the objects add a third numeric element after another dash.
Sample: AR0001-0001-01
1) The alphanumeric collection number of which the object is a member, e.g., M0036 or AR0001; see the collection master numbering list for reference
2) The four-digit, next-available, sequential number of the object within that collection. Each collection begins with 0001.
These two together are the Component Unique Identifier for the object found near the top of the ArchivesSpace record.
3) The third element is the two-digit next-available, sequential number of the digital photographs of the object.
For example, AR0001-0015-03 would be the third cataloged digital image (03) of the fifteenth catalogued object (0015) in the General objects collection (AR0001). This is the Component Unique Identifier for the Digital Object in ArchivesSpace that is attached to the object's item record..
